Minutes of the Meeting of the Board of Trustees of the Greensboro Association

President Niall Kirkwood called the meeting to order at 4:05pm.  Trustees present were Andy Dales,
Margaret Daniels, Celia Crawford, Rob Twiss, Bud Harvey, Linda Ely, Michael Porrazzo, John C. Stone, III,
Richard Lovett, Mary Meyers, Janney Johnston, Tara Reynolds, John Schweizer, and
Stephen Ferber and Sherral Lumsden. 

 

Members were introduced. It was moved and seconded to accept the
minutes of the August 7, 2008 Board Meeting.  Andy Dales noted that his name was not written
correctly and the minutes were passed with that correction.

The Executive Committee was appointed as follows:

It was brought forth to the Committee that Chairs do not have to be Trustees and
the current Chairs were approved as follows:

Stephanie Herrick agreed to continue as Auditor.

It was noted that the August 18, 2008 Annual Meeting attendance was lower.  The Board felt that the meeting was long this year.

There were 21 speakers which took a lot of time.  It was suggested that the reports from committees could be printed and available 2 weeks before the Annual Meeting.  Then only 4-5 make reports orally so the reporting could be shorter. The Police Chief’s report was long and it is hoped that next year it will be brief with more details.  The Board looked at the purpose of the meeting:  Required by the by-laws, give reports, keep summer and full-time residents informed, and an opportunity for all residents to ask questions.

Suggestions were made to improve the Annual Meeting:  Perhaps the website could cover some of the reports. Should a consensus be taken?  What is appropriate for the website?  How could the meeting be more powerful? Could a possible voting model be on the website with concern on important reports?  Could 4-6 boards be identified as most important?  Would it be possible to break into small focus groups to create more interest? Perhaps a speaker, booklet on special issue, or snack provided. 

Lake Protection – Andy Dales
Niall, Andy and Annie will work on the booklet 50 Ways to Preserve Caspian Lake.  Its purpose is to bring attention to the community
of the importance in keeping the lake under control.  Andy reported that it is in its 4th revision and close to a final draft.
Some items to be addressed are:  some items didn’t apply to Caspian, some items that apply to New Hampshire should be removed,
some items were controversial, reconstitution of the past should be put in the front again, and the format will remain the same.
The booklet is made to target anyone with influence to help protect the lake.  It will be available free of charge next spring.

 
Some highlights are lake and community quality and a current view of hazardous material use – poison, paint, etc…-around the lake.  The Board voted unanimously to allocate $1,000.00 towards production. The Rules for lake use should be posted in each camp. 

Fireworks – Michael Porrazzo

The price for fireworks has risen over the past several years, 2 years ago we received ½ hour, last year – 21 minutes, and this year 13/14 minutes for the same money.  The Town allocates $2,500.00 and the Association matches that amount.  Do we want to increase?  The contract is signed in early fall and can be revamped because the price is not set at that time.  Michael stated that the company, North Star in E. Montpelier, is great to work with. The Board would like to know how much it would cost for fireworks to be the same length as last year.  The Town would have to be notified to adjust its appropriation.   A note should be put in the membership letter about the increase with a place to designate donations for the fireworks funding.  A note should also be included letting members know that renters are eligible to become members of the Association.  Tod and Gwen Mann should let renters know that they can join the Greensboro Association. 

Friday, July 3, 2009 will be the evening for the Fireworks.  Final discussion was tabled as the date for the parade and 4th of July celebration is set at Town Meeting in March.  It was suggested that a table be set up during that event to foster interest in Greensboro Association membership and fireworks cost. 


Website

A Website Committee was appointed consisting of: John C. Stone, III, Chairperson, Linda Ely, Rob Twiss, John Schweizer, Margaret Daniels, and Michael Porrazzo.  There were many questions about the website – what it should look like, why do people go there?Content,Navigation,Maintenance,Necessity,Links – Town to Association.  Short term issues are

Green Sheet from years ago – ’06            Trustee meetings

Can the website be a coordination device for Greensboro Events?  Will there be a Web Master from the Association?  Who’s involved with the year round upkeep?  Is coordination of all Greensboro Events the Associations job?  Does the Association carry on with the Green Sheet (calendar); revised yellow sheet at this time? Bill Werley set up the existing website.  A report needs to be received on the functionality and recommendations.

It was decided that the Website needs to be a priority for the upcoming year.
